When is a good time to sell your rent roll?

It’s a common question, and the answer is simple: when it’s sale ready. Timing plays a crucial role, but to maximise value and saleability, it is equally important to ensure that your rent roll is in optimal condition. The market for quality rent rolls is consistently strong. But before you jump in, there are essential steps to take to maximise the value of your portfolio.

Below is a simple 5 point Pre-Sale Rent Roll Sale Checklist.

1. Authorities

For a smooth transition and valid assignment of a rent roll, every authority must be in the correct company name to be legally compliant. If you’ve previously purchased another rent roll or merged companies, there’s a good chance that some authorities may still be under a former entity’s name. This is especially true if there’s been a change or error in company name or ABN (Australian Business Number), in which case your authorities will need to be updated.

Even if these changes haven’t applied to you, it’s worth reviewing all authorities. We have encountered instances where an incorrect ABN was entered by accident, affecting all corresponding authorities. Ensuring this is correct early will prevent future delays or legal enforceability complications during the sale process.

2. Compliance Review

One of the most significant concerns in recent rent roll acquisitions has been whether all properties comply with legislated standards. Rent Roll buyers are wary of purchasing property managements that don’t meet necessary compliance requirements, creating potential ongoing maintenance issues that could alienate new Client relationships.

Conduct a thorough Compliance Audit review to identify all non-compliant owners or property managements. Either act to bring them up to standard or flag them in your system. This not only adds value by protecting the prospective rent roll buyer but also makes your rent roll more appealing by reducing risk.

3. Clean Records

The organisation of your records is crucial when selling a rent roll. Ask yourself where and how your files are stored? If you’re still using paper files, it’s time to clear out non-essential documents (such as old invoice copies) and digitise the ones you need. Store these digital records securely in your trust account system or another easily accessible platform.

Having clean, well-organised, and easily transferrable records will streamline the transition process and present your rent roll as more attractive to potential buyers. In an era where data accessibility is key, the ease with which information can be transferred will positively impact the value of your rent roll.

Fully digitalised management information enables off-site online Due Diligence at the point of sale, greatly enhancing staff confidentiality and streamlining and expediating the whole Due Diligence process.

4. Trust Account

Your trust account is another critical area to review. Ensure that all records in your system are up to date. Are you holding information for former clients or tenants that are no longer relevant? Are trades or contractors listed as active that haven’t been used in years?

Clearing out old data not only expedites and simplifies the transfer process but also helps comply with privacy laws. Holding onto personal information for more than five to seven years could breach the Privacy Act. So this is a great opportunity to legally dispose of any unnecessary records and streamline your data.

5. Client Relationships and Communication

Lastly, take the time to review your client relationships. How strong are your communications with property owners and renters? A rent roll isn’t just a list of management properties, it is also a portfolio of relationships. Rent Roll buyers will be keen to understand how well these relationships are managed and how likely it is that owners and renters will remain with the Rent Roll owner after the sale.

Ensure that communication with your clients is current and professional. If there are any longstanding issues or disputes, now is the time to resolve them. A smooth transition for the buyer is much more likely if the client relationships are solid and communication is effective. Building a history of reliable, consistent service can increase the value of your rent roll and give the buyer confidence in the continuity of business post-sale.

Selling your rent roll can be a profitable move, but only if it’s well-prepared. Ensuring Management Authorities are in order, conducting a comprehensive compliance review, organising rent roll records, cleaning up the trust account and solidifying client relationships, will create a more valuable and attractive asset.

Taking the time to prepare now will ultimately ensure a smoother sale process and maximum sale value is obtained.
